Individual bookings may also be governed by a proposal, invoice, booking agreement, waiver, venue agreement, or other written terms. Where terms specific to an individual booking differ from these general Terms and Conditions, the terms of the applicable booking agreement will govern to the extent of that difference.

Vibe Society Services
Private Bookings
Vibe Society provides customized event and experience services that may include private-event planning and coordination, photography and content creation, creative direction, entertainment coordination, venue sourcing, and other experience enhancements.
Services vary according to the individual booking.
Information displayed on our website regarding packages, services, enhancements, photographs, or previous experiences is provided for general informational and promotional purposes and does not constitute a guaranteed offer of availability.
The exact services, pricing, date, location, and inclusions for a private booking will be identified in the applicable proposal, invoice, or booking agreement.
Booking Confirmation
Submitting an inquiry does not guarantee availability or reserve a date, venue, vendor, or service.
A booking is considered confirmed only after the confirmation requirements communicated by Vibe Society have been completed. Depending on the booking, these requirements may include:
Acceptance of a proposal or booking agreement;
Payment of a required deposit or initial payment; and
Submission of information reasonably required to arrange the experience.
Until a booking is confirmed, dates, locations, vendors, and services remain subject to availability.
Venues & Locations
Flexible Venue Model
Vibe Society operates using a flexible-location model.
Experiences may take place at client-provided locations or suitable third-party venues depending on the requirements of the booking.
Unless expressly stated otherwise in writing for a particular booking, Vibe Society does not represent that it owns or operates third-party venues used for client experiences.
Venue Coordination
Clients who already have a venue may request Vibe Society services for that location, subject to the property's requirements and suitability for the planned experience.
For clients who require a location, Vibe Society may assist with venue sourcing and coordination based on factors such as:
Event type;
Guest count;
Preferred location;
Style and atmosphere;
Budget;
Date and duration; and
Venue availability.
Venue availability cannot be guaranteed until the applicable arrangements have been confirmed.
Third-party venues may maintain their own rules, restrictions, deposits, capacity limits, cancellation policies, operating hours, insurance requirements, and other conditions.
Clients and their guests must comply with applicable venue requirements.
Client-Provided Locations
Where a client provides the location for an experience, the client is responsible for ensuring that they have appropriate authorization to use the property for the intended activity.
Clients must disclose relevant restrictions, access requirements, capacity limitations, noise restrictions, or other property rules that could reasonably affect the booking.
Vibe Society reserves the right to decline or modify services where a proposed location cannot reasonably or lawfully accommodate the planned activity.
Pricing & Payments
Quotes and Proposals
Because Vibe Society experiences are customizable, pricing varies according to the scope of each booking.
Pricing may take into consideration factors including the venue, duration, guest count, staffing, photography, entertainment, food and beverage requirements, creative services, décor, and third-party expenses.
Quotes and proposals are based on the information available at the time they are prepared.
Requested changes to the scope of a booking may result in revised pricing.
Applicable taxes and additional charges will be identified where required.
Deposits & Payments
Private bookings may require a deposit or initial payment to secure services.
Payment amounts, due dates, and any applicable payment schedule will be stated in the client's proposal, invoice, or booking agreement.
Failure to make required payments by the applicable deadline may affect the availability of services or result in cancellation in accordance with the applicable booking terms.
Changes to a Booking
Requests to modify a confirmed booking are subject to availability.
Changes involving the date, duration, location, guest count, entertainment, photography, food and beverage service, décor, vendors, or other services may result in additional charges.
Material additional costs will be communicated before the applicable requested addition or modification is confirmed.
Cancellations, Rescheduling & Refunds
Cancellation and rescheduling conditions may vary depending on the nature of the booking.
Clients should review the applicable booking agreement and Vibe Society Refund Policy before confirming their booking.
Certain costs may become non-refundable after funds have been committed to a venue, vendor, performer, photographer, supplier, or other third-party provider.
Requests to reschedule are subject to availability and may also be affected by third-party cancellation or rescheduling policies.
Nothing in these Terms and Conditions is intended to restrict rights that cannot legally be excluded under applicable law.
Third-Party Services
Venues, Vendors & Service Providers
Vibe Society may assist with coordinating services provided by independent third parties, which may include venues, photographers, entertainers, DJs, caterers, decorators, and other suppliers.
Independent third-party providers may maintain their own terms, requirements, pricing, availability, and cancellation policies.
Where a service provider is an independent third party, Vibe Society does not control that provider's independent acts or omissions.
Nothing in this section excludes or limits responsibility where doing so would be prohibited by applicable law.
Food & Beverage Services
Food and beverage services may be provided or coordinated depending on the selected experience, venue, and available providers.
Where alcohol is involved, its sale, service, possession, and consumption must comply with applicable laws, venue policies, and requirements imposed by appropriately authorized providers.
Vibe Society reserves the right to decline or modify arrangements that cannot be provided appropriately or in accordance with applicable requirements.
Client & Guest Responsibilities
Clients are responsible for providing accurate information regarding their booking and for communicating applicable event and venue requirements to their guests.
Clients and guests are expected to behave responsibly and comply with applicable laws, venue policies, and reasonable safety requirements.
Vibe Society may refuse or discontinue services where conduct creates a significant safety concern, violates applicable law or venue requirements, or materially prevents Vibe Society or a provider from delivering the agreed services.
Responsibility for property damage caused by a client or their guests may be governed by the applicable booking or venue agreement and applicable law.
Photography & Content
Photography or content-creation services are provided only where included in the applicable booking.
Image delivery, editing, licensing, ownership, and permitted usage may be subject to additional terms associated with the applicable photography or content package.
Vibe Society will obtain appropriate permission where required before using identifiable client content for promotional purposes.
Circumstances Outside Our Reasonable Control
Occasionally, circumstances outside the reasonable control of Vibe Society may materially affect a booking. These may include severe weather, emergencies, government restrictions, venue closures, transportation disruptions, utility failures, or unexpected third-party unavailability.
Where such circumstances affect a booking, Vibe Society will make reasonable efforts to communicate with the client and explore appropriate available alternatives.
Depending on the circumstances and applicable agreements, alternatives may include substitution, rescheduling, credit, or another reasonable arrangement.
Website Use
Hyperlinking to Our Content
Government agencies, search engines, news organizations, online directories, and other reputable organizations may link to publicly available portions of our website provided that the link:
Is not deceptive;
Does not falsely imply sponsorship, endorsement, partnership, or approval by Vibe Society; and
Is presented in an appropriate context.
Other organizations wishing to use Vibe Society branding, logos, photographs, artwork, or other protected materials should obtain permission before doing so.
No use of the Vibe Society logo or other protected artwork is permitted in a manner that falsely suggests authorization, affiliation, or endorsement.
Content Liability
Vibe Society is not responsible for content appearing on independently operated third-party websites that link to our website.
No third-party website should use a link to Vibe Society in a manner that is unlawful, defamatory, deceptive, or infringes the rights of another party.
Reservation of Rights
