Cancellation & Refund Policy

At Vibe Society, every private booking is thoughtfully planned around the individual client, date, services, location, and experience. Because many bookings require advance planning and commitments to third-party venues, vendors, and service providers, cancellation and refund eligibility may vary depending on the circumstances of each booking.

Please review the following policy before confirming your experience.

Booking Deposits

Private bookings may require a deposit or initial payment to secure your date and begin planning.

The required deposit, payment schedule, and any booking-specific cancellation conditions will be communicated in your proposal, invoice, or booking agreement before confirmation.

A booking is not considered confirmed until the applicable booking requirements have been completed.

Client Cancellations

If you need to cancel your booking, please contact Vibe Society as soon as possible.

Refund eligibility will depend on the timing of the cancellation, services already performed, and any expenses or commitments already made in connection with your booking.

Any cancellation terms stated in your individual proposal or booking agreement will apply to that booking.

Third-Party Costs

Some experiences involve independent venues, vendors, entertainers, photographers, caterers, suppliers, or other service providers.

Once funds have been committed to a third party, those amounts may be subject to that provider's cancellation and refund policies and may therefore become non-refundable.

Where reasonably possible, Vibe Society will communicate applicable third-party cancellation conditions before confirming significant commitments.

Rescheduling

Need to change your date? Contact us as soon as possible.

We will make reasonable efforts to accommodate rescheduling requests, but alternative dates are subject to Vibe Society, venue, vendor, and service-provider availability.

Third-party rescheduling fees or price differences may apply.

Changes to Your Booking

Changes to your guest count, location, duration, services, entertainment, photography, food and beverage arrangements, or other elements of your experience may affect your final price.

Any additional costs associated with requested changes will be communicated before those additions are confirmed.

Venue or Vendor Unavailability

If an unexpected issue prevents a confirmed third-party venue or service provider from fulfilling their portion of a booking, Vibe Society will make reasonable efforts to identify an appropriate alternative or discuss available options with the client.

Depending on the circumstances and applicable agreements, these options may include substitution, rescheduling, credit, or an appropriate refund of amounts relating to services that cannot be provided.

Circumstances Outside Our Reasonable Control

Events outside the reasonable control of Vibe Society, including severe weather, emergencies, government restrictions, venue closures, transportation disruptions, or other unexpected circumstances may occasionally affect a booking.

If this occurs, we will communicate with you as soon as reasonably possible and work to determine an appropriate solution based on the circumstances and applicable agreements.

Processing Approved Refunds

Where a refund is approved, it will generally be returned using the original payment method unless otherwise agreed.

Processing times may vary depending on the payment provider or financial institution.

Individual Booking Agreements

Certain private experiences may have cancellation, payment, or refund conditions specific to that booking.

Where your signed booking agreement or accepted proposal contains booking-specific cancellation or refund terms, those terms will apply to that booking to the extent of any inconsistency with this general policy.

Nothing in this policy limits any rights or remedies that cannot legally be excluded under applicable law.
